Use one specification as the reference
Set up a comparison sheet with one column for your requirement and one for each offer. Record the product identity, grade and proposed specification before reviewing price. Keep quantity and packaging on the same basis
Record the quoted quantity, pricing unit, pack size and pallet arrangement. Ask whether packaging charges are included and which shipment weight the offer uses. If one offer is based on a different quantity or packaging format, request an aligned quotation before treating the prices as directly comparable.
Write down the delivery scope
For each offer, record the named departure or delivery location and the stated trade terms. List the charges expressly included and ask about unclear exclusions rather than calculating a delivered total from assumptions. Keep the requested arrival date, estimated dispatch date and any freight estimate in separate fields. Ask what each estimate depends on and when it needs reconfirmation; a quotation is not a reason to promise your own customer an unconfirmed delivery date.
Track open questions, not just prices
Use a short status beside each comparison item: confirmed in writing, awaiting clarification, or outside the offer. Useful items include specification acceptance, available COA and SDS, MOQ, payment terms, quotation validity and delivery scope. A blank field should remain an open question, not an assumed inclusion.
Close the comparison with a written summary
Before proceeding, return a concise summary of the product, quantity, packaging, destination, agreed documents and commercial terms to the supplier. Ask for confirmation of any changes from the original quotation. For repeat orders, use the previous purchase as a reference but reconfirm the current offer rather than carrying forward price or availability assumptions.
